About LiftFlow

LiftFlow is an all in one platform for elevator service companies that handles scheduling, dispatch, service records, quotes, and invoicing.

See LiftFlow in 30 seconds

Follow one job from the schedule to the mechanic's phone to the invoice.

What LiftFlow does

Recurring maintenance and dispatch

You enter each building's contract once, with whatever visit frequency it calls for, and LiftFlow puts every visit on the calendar for the length of the contract. The dispatch screen shows the week, the jobs nobody has picked up yet, and a map. To assign something you drag it onto a mechanic.

Service records from the field

Mechanics write up each stop in the LiftFlow for Technicians app. Photos, parts used, time on site, mileage. If they'd rather talk than type, they can dictate the notes. The app works without a signal and syncs when it gets one back, and it sends a push notification when a job is assigned.

Turning a problem into a quote

When a mechanic finds something, say a door operator on its way out, they can flag it and turn it into a quote from the phone. The quote goes out for signature through DocuSign or Zoho Sign. If the customer signs, the repair shows up on the schedule as a project with its own checklist.

Invoicing, QuickBooks, and payments

You can invoice a single visit, quote a repair, or set a contract to bill itself on a schedule. Invoices go out as PDFs with line items. Customers come in from QuickBooks Online and invoices go back to it, and if you connect your own Stripe account, customers can pay online. Nothing gets typed twice.

NYC DOB violations

If you work in New York City, LiftFlow pulls violations from DOB NOW every morning and attaches them to the right elevator by device number. The office sees them next to the service history instead of looking them up one building at a time.

A portal for your customers

Property managers can get their own login. They see their own elevators, service history, and invoices, and they can leave a comment on any visit. They only see their own buildings. In practice it means fewer calls asking what happened on Tuesday.

Ask LiftFlow

You can type a question like "show unpaid invoices from the last 90 days" and get that list. It works for records, customers, buildings, and quotes, and there's no report builder to learn. You can also forward a customer email or a contract PDF to LiftFlow and it will draft the customer, building, and unit records for you to check.

What makes LiftFlow different

Built only for elevator companies

We don't sell to plumbers or HVAC shops. The whole product assumes contracts, buildings, units, and mechanics. Maintenance frequencies, callbacks, CAT tests, and DOB device numbers are built in, so you're not bending a general field-service tool into shape.

Easy to learn

Most offices are working in it on the first day, and mechanics usually don't need anything beyond installing the app. There's no admin console to configure and no certification course.

Quoting from the field

A lot of repair work gets lost between the mechanic noticing something and the office hearing about it. We built LiftFlow around that moment. The quote, the signature, and the booked repair are all reachable from the service record.

Pricing by seat

We charge by admin and technician seats, in three tiers. Elevators, buildings, records, and photos aren't counted, and there's no setup fee. The price changes when you add people and not otherwise.

We do the import

Send us your customer, building, and unit lists in whatever shape they're in. Spreadsheets, PDFs, a QuickBooks export, an export from whatever you're using now. We load them, train the office, and get your first mechanics on the app. Most shops are live within days.

Who uses LiftFlow

  • Elevator service companies with somewhere between one and twenty technicians, usually looking after a hundred to a few hundred elevators.
  • Shops that do maintenance contracts and also take on repairs and modernizations, and want both on the same schedule.
  • New York City contractors who have to keep up with DOB NOW.
  • Owners who are done with spreadsheets and paper tickets, or who tried a general field-service tool and found it didn't understand elevators.
  • Offices that invoice out of QuickBooks Online and want the visit, the invoice, and the payment to line up.

Frequently asked questions

Does LiftFlow handle maintenance contracts and repair projects in the same system?

Yes. Maintenance schedules generate the contracted visits on their own. Repairs, modernizations, and installs are set up as projects, each with a checklist and files. They all land on the same dispatch board, which makes it easier to see what you've already committed to before you take on more.

How does LiftFlow help me see what a contract actually costs to service?

Each service record has the mechanic's time, overtime, parts, and mileage on it. The reports page adds up visits, callbacks, and waiting work by month and by technician. Between the two you can see which buildings are eating hours, which ones are producing repair quotes, and which contracts are priced below the work they take.

What do technicians use?

The LiftFlow for Technicians app, on the App Store and Google Play. It lists each mechanic's tasks in order, writes up records with photos, parts, and voice notes, works without a signal, and sends a notification when a job is assigned. The week's route is on a map.

Does LiftFlow integrate with QuickBooks?

Yes, QuickBooks Online. Customers come in from QuickBooks, invoices you create in LiftFlow go over to QuickBooks, and when a payment is recorded in QuickBooks it shows up on the LiftFlow invoice.

Does LiftFlow track NYC DOB violations?

Yes. For shops in New York City, LiftFlow pulls open violations from DOB NOW every morning and matches them to your elevators by device number. They show up next to the service history, so nobody has to check the DOB site building by building.

Can my customers see their own elevators?

Yes. A building manager gets a login that only shows their own account: their elevators, service history, invoices, and a comment thread on each visit. They can't see anyone else's buildings.

How is LiftFlow priced?

It's a subscription priced by admin and technician seats, in three tiers: one for the one to three mechanic shop, one for mid-size shops, and one for multi-region companies. There's no setup fee, and we don't count elevators, buildings, records, or photos. Email info@liftflow.io and we'll send you a quote.

How long does it take to get started?

Usually days. Send us your customer, building, and unit lists in whatever format you have and we'll import them. Onboarding, data migration, and the mobile app are included in every tier.

Is there a free trial?

No. An empty trial account doesn't tell you much. We'd rather load some of your buildings and show you the product on your own work. Email info@liftflow.io and we'll set it up.

What does LiftFlow integrate with?

QuickBooks Online for customers, invoices, and payments. Stripe for online invoice payments, through your own account. DocuSign and Zoho Sign for signatures on quotes and contracts. Google Maps for route planning. Google Calendar and Gmail for the office. And NYC DOB NOW for violations.

How do I get support?

Email us at info@liftflow.io. Support is included in every tier, along with onboarding, data migration, and the mobile app.
